Human Resources Generalist

The Institute for Medical Research, (IMR), an affiliate of the Durham VA Healthcare System is a nonprofit organization that supports research and education at the Durham Veterans Affairs Health Care System (DVAHCS).

The Human Resources Coordinator II will assist the IMR organization of 200+ employees. This role provides support to the human resource functions with a focus on benefits, onboarding, systems maintenance and HR compliance. This position requires a high degree of organization, accuracy, integrity, and attention to detail. This is a full-time position.

This is a full-time position of forty (40) hours per week. This position is hybrid and is located in Durham, North Carolina. Candidates will be asked to relocate upon acceptance of an offer if they are not already local.

Required Qualifications:

  • Bachelor’s degree in human resources management, Business, or related field preferred
  • Designation as a SPHR, PHR, or SHRM-CP preferred
  • Two to four years relevant human resources experience
  • Eligible to work in the United States

Skills:

  • Knowledge and adherence to the Ethical and Professional Standards of Human Resources
  • Ability to research, understand, and communicate labor laws, benefits and HR policies
  • Working knowledge of EEOC, AA, DOL, NC HR, ADA, FMLA, FLSA, HIPAA, E-Verify (I-9) and other employment laws or standards
  • Demonstrated history of critical thinking to solve and prevent problems.
  • Strong organizational skills and attention to detail.
  • Demonstrated ability to manage time by identifying priorities, planning workflow and sequencing projects to maximize efficiency and effectiveness.
  • Demonstrated ability to exercise good judgement and professional discretion when handling confidential information, strong ethical standards
  • Strong interpersonal with the ability to communicate effectively across all levels of the organization
  • Experience working independently and collaboratively as part of a cross-functional team
  • Ability to work in a faced paced environment
  • Proficient use of HRIS, MS Office, MS Teams, ADP and other HR systems/software

Specific tasks will include:

Compliance Responsibilities

  • Assist the HR Director in coordinating government, regulatory, and compliance reporting
  • Maintain & track benefit trends, cost and rates of participation
  • Help audit compliance and benefits reports and data as needed
  • Track and ensure trainings & policies are current for all employees
  • Manage employee notifications and follow up as needed
  • Support the performance review process to include review, follow up and records maintenance
  • Serve as a resource to ensure managers follow IMR policies and HR best practices
  • Recommend improvements to HR processes, procedures & forms
  • Assist HR Director in training management and employees

New Hire Onboarding Responsibilities

  • Facilitate a successful new hire onboarding experience
  • Track onboarding tasks and status in related systems and follow up as appropriate
  • Ensure new employees complete all required paperwork within established timelines
  • Complete Forms I-9, verify I-9 documentation, and enter in related systems
  • Audit I-9s (active and terms) to ensure compliance
  • Conduct IMR new hire orientation trainings and presentations

Benefits Administration Responsibilities

  • Serve as the primary point of contact for benefit-related questions
  • Ensure compliance, risk management and confidentiality
  • Play a key role in supporting the annual open enrollment process to include helping with employee communications and educational opportunities
  • Encourage manager and employee self-service/use of carrier and open enrollment resources (i.e. benefits guides, apps)
  • Handle day-to-day benefits administration to include reviewing/approving enrollments, terms and changes needed to update ADP and reconcile carrier invoices
  • Update and make changes to employee records due to qualifying life events, name changes, etc.
  • Maintain benefit files and records

HR Service Delivery

  • Support IMR culture and change management initiatives
  • Respond to supervisor and employee requests and questions accurately and in a timely manner
  • Create/manage employee surveys and responses to identify trends and opportunities
  • Complete employment verification requests
  • Ensure accurate and bi-weekly leave of absence and payroll change reporting
  • Help troubleshoot benefits and payroll-related issues
  • Draft and/or prepare HR correspondence and file documentation as requested
  • Maintain employee files, employee email lists and HR spreadsheets
  • Other duties as assigned

Working Collaboratively with Your Manager: Understand the vision and your part in ensuring your manager’s and the HR team’s success. Share thoughts, perspectives and important information that may aid in decision making. Prioritize and provide accurate, timely and thorough responses to requests from your manager.

Supporting Co-Workers: Assist team members and other employes with questions when they arise. Contribute to team performance by providing encouragement and support. Help others overcome obstacles to successful accomplishment of team goals.

Solving Problems: Effective at thinking through complex problems and able to read, analyze, define problems, collect data and draw valid conclusions. Use traditional and innovative approaches to identify effective solutions and seek to accept and build off the ideas of others for solutions that may not have been previously considered.

Attentive Listening and Communications: Use active listening techniques to avoid distractions and show an interest in what the speaker has to say, is open to other viewpoints and clarify points of contention, demonstrate patience while listening to others and does not interrupt, and proactively provide appropriate and timely communications to Management.

Serving Principal Investigators, study teams and other IMR staff: Maintain knowledge of IMR’s services, goals and priorities to be able to provide necessary support and follow-up.

Physical Requirements:

The physical requirements and activities that are required to perform the essential functions of the position include, but may not be limited to, as follows:

  • Must be able to occasionally lift, pull and push a minimum of 25 lbs.
  • Must be able to stand for extended periods of time.
  • Must be able to sit for extended periods of time.
  • Must be able to squat, kneel, and stoop.
  • Must be able to regularly use fingers, hands for computer work.
  • Must be able to frequently handle stressful situations and concentrate for long periods of time.

Salary Range: $52,500 - $ 58,500 per year

Supervisory Controls: The position of Human Resources Generalist falls under the direct supervision of the Human Resources Director.
